Zoom Integration Guide

Step 1: Navigate to Integrations

Go to the Integrations page in Perfxt. You can find it in the main navigation menu or by visiting /integrations.

Step 2: Find Zoom Integration

Look for the Zoom integration card on the Integrations page. It will show as "Available" if you haven't connected it yet.

Step 3: Click Connect

Click the "Connect" button on the Zoom integration card. This will redirect you to Zoom's authorization page.

Step 4: Authorize Perfxt

On Zoom's authorization page, review the permissions Perfxt is requesting:

• Read your meetings list
• Read individual meeting details
• Read your user information

Click "Authorize" to grant these permissions. Perfxt will never modify or delete your Zoom meetings.

Step 5: Automatic Sync

After authorization, you'll be redirected back to Perfxt. The integration will automatically start syncing your meetings:

• Meetings from the past 30 days
• Upcoming meetings for the next 365 days
• Meeting details including participants and descriptions

The initial sync may take a few minutes depending on how many meetings you have.

Automatic Meeting Creation

When a Zoom meeting is synced, Perfxt automatically creates:

• Meeting Record: Stored in your meetings database with title, description, date, duration, and participants
• Linked Task: A task with category "meetings" that appears in your task list
• Calendar Event: An event in your schedule view showing the meeting time

Where to Find Your Meetings

Synced Zoom meetings appear in multiple places:

• Meetings Page: All your meetings are listed here
• Tasks Page: Meetings appear as tasks with the "Meeting: " prefix
• Schedule/Calendar View: Meetings show up as calendar events
• Analytics: Meeting data contributes to your productivity insights

Automatic Updates

Your Zoom meetings are automatically synced 4 times per day. If you make changes to a meeting in Zoom (like changing the time, title, or participants), those changes will be reflected in Perfxt within a few hours.

Manual Editing

You can manually edit synced meetings in Perfxt. However, changes made in Perfxt won't sync back to Zoom. If you update a meeting in Zoom, it will overwrite your manual changes during the next sync.

Step 1: Go to Integrations

Navigate to the Integrations page.

Step 2: Find Connected Zoom

Look for the Zoom integration card. It should show as "Connected" with a green indicator.

Step 3: Click Disconnect

Click the "Disconnect" button on the Zoom integration card. You'll be asked to confirm the disconnection.

What Happens When You Disconnect

When you disconnect Zoom:

• Your meeting history is preserved: All meetings, tasks, and calendar events remain in Perfxt
• No more automatic syncing: Future Zoom meetings won't be automatically added to Perfxt
• You can still edit meetings: All existing meetings remain fully editable
• OAuth connection is removed: Perfxt no longer has access to your Zoom account

This design ensures you don't lose any valuable meeting history or analytics data when disconnecting.

Reconnecting Later

If you reconnect Zoom later, Perfxt will intelligently match your existing meetings to prevent duplicates. It looks for meetings with the same title and time (within 5 minutes) and re-links them to your Zoom account.

Meetings Not Syncing

If your meetings aren't appearing in Perfxt:

• Wait a few hours - syncing happens 4 times per day automatically
• Check that the integration shows as "Connected" on the Integrations page
• Try disconnecting and reconnecting the integration
• Verify you have meetings in Zoom within the sync range (past 30 days to future 365 days)

Authorization Errors

If you see errors during the authorization process:

• Make sure you're logged into the correct Zoom account
• Check that you have permission to authorize apps in your Zoom account
• Try clearing your browser cache and cookies, then try again
• Contact support if the issue persists

Token Refresh Issues

If you see messages about expired tokens:

• Zoom refresh tokens expire if not used for 90 days
• Simply disconnect and reconnect the integration to get new tokens
• Your meeting history will be preserved during this process

Duplicate Meetings

If you see duplicate meetings after reconnecting:

• Perfxt tries to prevent duplicates by matching titles and times
• If a meeting title or time changed significantly in Zoom while disconnected, a new meeting may be created
• You can manually delete duplicate meetings if needed
